As part of my work on the AKDB payroll product OK.PERS+, I designed a new feature called “Krankenhausstatistik”, a hospital statistics module that enables customers to generate and transmit statistical reports to e.statisticcore. The goal was to bring this complex functionality from the legacy system OK.PWS into the modern OK.PERS+ environment while improving usability, transparency, and data integrity.

The Challenge

The existing OK.PWS implementation was based on a legacy backend structure built around an 80-character dataset, making it difficult to understand and maintain. The relationships between input data, backend logic, and the generated statistical outputs were not well documented. Additionally, the new OK.PERS+ architecture required integrating the statistic generation into the “Auswertungen” (evaluations) module and aligning it with the document request workflow used to retrieve CSV reports.

To tackle these challenges, I began by conducting a detailed analysis of the legacy system and created a Service Blueprint to visualize the data flow and interactions between the backend, user inputs, and output generation.

The Solution

Based on this blueprint, I defined a concept for all necessary input fields required to collect the data for the hospital statistics. I also designed the logic for how the CSV document would be generated and made available through the document request sector, ensuring that customers could order and retrieve their statistics directly from the Auswertungen area of OK.PERS+.

Outcome

The result was a clear, well-documented concept that bridged the gap between the legacy system and the modern OK.PERS+ architecture. The Service Blueprint served as a foundation for both developers and stakeholders to understand dependencies and requirements. The new design simplifies data input, aligns with the product’s document handling framework, and ensures compliance with e.statisticcore submission standards.

Overall, the Krankenhausstatistik feature contributes to a more streamlined, transparent, and user-friendly experience for payroll administrators in the healthcare sector.

Project challenges

Bridging the gap between legacy and new

Understanding the undocumented 80-character backend structure of the legacy OK.PWS system and translating it into a modern, user-centered concept for OK.PERS+ was a key challenge. Balancing technical constraints with usability and ensuring seamless integration into the existing Auswertungen workflow required close collaboration and precise analysis.

I deepened my skills in service design and systems thinking, learning how to visualize complex backend processes through Service Blueprints. The project strengthened my ability to connect technical logic with user needs and communicate effectively across interdisciplinary teams.
